About the role: This is a 12 month, new role with unaccompanied terms based in Juba with a annual allowance of €10,034. You will report to the Systems Director. We would like you to start ASAP.
Your purpose: To provide support to the Juba Logistics and Systems function to allow for efficient and effective delivery of services to programmes.
You will be responsible for: Procurement Support • Provide administrative support for tenders, including: o Drafting tender dossiers and supporting documentation o Preparing for tender openings o Compiling reports, data from tender evaluation o Communication to unsuccessful bidders o Filing all tender paperwork o Draft supplier contracts • Reviewing suppliers’ and unit price databases for accuracy and completeness Warehouse Support • Reviewing stores in Juba and programme locations to ensure that stores paperwork is being maintained • Carrying out periodic stock counts • Reviewing stores items to ensure that items are in-date • Reviewing stores layout to ensure that stocks is not at risk of being damaged
• Support in preparing Stock Reconciliation Reports, when necessary • Support in investigating stock discrepancies, when necessary • Verifying fixed asset registers to ensure that all items are completed • Assigning tag numbers to all fixed assets which do not currently have numbers • Engraving assets Transport Support • Collating monthly reports and producing overall report for Transport per month • Supporting in raising payments for vehicle hire and maintaining records for monthly vehicle hire expenditure by donor/programme Health & Safety • Fire safety o Develop fire procedures for all offices, stores and international staff residences, clearly documenting the procedures to minimize the risk of fire and the steps to be taken should a fire occur o Introduce a fire equipment register to track refill, registration and renewal dates for the various pieces of fire equipment in each office, store and residence o Train identified staff as fire wardens o Train all staff in fire safety awareness, fire procedures and the uses of fire equipment o Identify any additional equipment (including alarms) necessary for full compliance with fire procedures, based on best practice and any Government Health & Safety regulations. Support the procurement process for these o Hold fire drills by location, to familiarize staff with the fire drill procedures
• First Aid o Review first aid kits for fit for purpose by office, store, residence, vehicle and motorcycle. Recommend any changes/additional items needed, and support any procurements o Introduce an organisation first aid kit register to track refill and renewal dates for contents of first aid kits o Introduce a first aid kit usage system to monitor usage of first aid supplies Other • Undertake any other related duties as may reasonably be assigned by the Logistics Coordinator, SD or CD • Provide cover for other Logistics staff, if necessary Your skills and experience will include:
Essential: Some logistics/fleet management/supply chain/warehousing experience Security awareness Fluent in written and oral English Proven ability to train, coach and support staff Good technical, managerial and administrative skills
Desirable: At least one year practical experience of working in logistics in the humanitarian field with an NGO Experience with emergency operations. Previous experience in Africa. Ability to act as part of a multi-cultural and multi-disciplinary team. bility o organize and prioritise work, using initiative when appropriate Ability to cope with stress and to work under pressure Flexibility, adaptability, good sense of humour and patience Ability to work on own initiative and as part of a team Willing to live in basic living conditions
